Would the RynMag 182 be adaptable for our Company?

The RynMag 182 was developed to handle documentation as required by the OHSAS 18001, ISO 9001 and ISO14001 standards including the Incident, Accident and Non-conformance registers. The system has various levels of functionality for the distribution of information to all users. These could be set by the administrator of the system to adhere to specific requirements of the company. The RynMag 182 was designed to serve in corporations of 100 or less users. Changes to our software are no major feat as we employ qualified programmers on a full time basis.

Login

The system makes provision for 5 levels of users. Each user is categorized within these levels for the applicable document and functionality management. All users have access to the official documents and could report incidents. Should the client have specific login requests, RynMag could change the login connected to these specific functions.

Legal Documents

RynMag 182 includes all basic legislation required by your specific legal register, such as the Constitution of the Republic, Occupational Health & Safety Act, Basic Conditions of Employment Act, The Mine Health and Safety Act, Consumer Protection Act as well as all the Regulations and Amendments pertaining to these Acts. All appointment documents applicable for the appointments in terms of the legislation are included as word documents for easy editing and use.

Document Management

Documentation is handled in three Generations. The first generation is the Master documents and are editable. These are used by the administrator to compile new documents for use within the system. The second generation are copies of the the official documents scanned into the system for distribution amongst the users. The third generation is the archive of all documents replaced in the system. All second generation documents are archived upon replacement or deletion. The specific relationship between documents are determined by your current management system and could be reflected in this system- (a task description shared by various procedures). The RynMag 182 is a tool to manage all documents in your business.

Generic Documents

The RynMag 182 comes pre-loaded with generic documentation for the use in the management system. These would include samples of safety files and documents related thereto.

Reminders

When the Administrator logs in, the system starts up with a set of reminders of various items that are critical for the maintenance of the Management System. The reminders are for training to be repeated, tasks and meetings to be conducted, outstanding investigations relating to incidents as well as the review of documentation to maintain the system.

Inspection Documentation

Process and Equipment Inspection form an integral part of any management system. These inspections indicate the level of control used within the management system. Control is imperative and RynMag optimised the ease with which inspection documentation is handled when issued as well as the electronic filing of completed documentation. The filed documents could easily be retrieved through search functions of the system.

Personnel Management

The Occupational Health and Safety management could never be properly handled without the personal information of all employees of a business. The RynMag 182 keeps relevant information pertaining to all personnel, being managed. The information typically include all contact detail in case of emergencies but also the detail of all different training needed for the specific person to function properly within the enterprise such as the drivers licenses inclusive of vehicle license copies and Identity document copies. The repetitive training would be activated prior to lapsing. When there are large numbers of personnel being regularly employed for short terms, the information could be stored in a de-activated section of the system.

Site Safety Files

The compilation of Site Safety Files could be quite an extensive task. The RynMag 182 comes with most profiles pre-loaded with all supportive documentation included. We believe that the Site Safety File should be the starting point and not the end of Safety Management. The effort to compile the file would be limited to the addition of specific documentation to the specific Safety File profile and by pointing a mouse, a complete safety file is generated and printed inclusive of the project name and detail. This process could be completed in a couple of minutes.

Labour Hours and Injury Frequency Rates

The labour hours are added into registers for compilation of required data formulae such as the TIFR,DIFR and LTIFR. These frequency rates are calculated by the program and represented as a figure. The calculations are automatically done as soon as an incident is recorded on the system. Graphs could be compiled from the data as required for review of the management system.

Incident Register

The tamper-proof register is linked to various aspects of the management system, such as the personnel list, Sites and Sections within each site. The register records the description of the incident as well as all relevant detail such as the personnel directly and indirectly involved such as witnesses and all documents relating to the incident such as statements, photographs, investigation documents and Root Cause of the incident. You don’t have to hunt any information at any later date as everything is included in the register.

Root Cause Picker

The Root Cause of incidents has to be determined to effectively be able to manage the prevention of re-occurrence or the influence in the event of it re-occurring. RynMag has included a Root Cause Picker in the RynMag 182 which would compile a report for inclusion in the Incident Register.

Non-Conformance Register

The Non-Conformance Register is also tamper-proof and has entries for the description of the non-conformance whether internal or external, who reported the non-conformance, which personnel was involved as well as dates for the resolution thereof and all relevant documents.

Accident Register

The accident register has entries for all relevant information such as the personnel involved as well as the elements involved and spill kits used. All relevant information is kept on record for later retrieval inclusive of photographs and all other documentation pertaining to the incident.

Water and Energy Usage

The use of water and energy have to be monitored by enterprises being serious about their Environmental Management. The RynMag 182 has all the relevant registers for the management thereof and the results can be used in comparative graphs for easy analysis.
