Do I have to use all functions?
The RynMag THAM is a modular system in which any or all of the units could be activated. The basis of the information is shared throughout the system and each "unit" could thus function independently. The four units from which a selection could be made are Occupational Hygiene Management, Training Management, Medical Surveillance, Absenteeism Management.
Basic Information Framework
The system is built upon information regarding each position within the Enterprise. All positions are linked to a responsibility or reporting structure and is graded according to the Paterson Grading System. The information and privileges are based upon the Paterson level and other criteria.
Occupational Hygiene Management
Occupational Hygiene is it is generally defined as the art and science dedicated to the anticipation, recognition, evaluation, communication and control of environmental hazards / stressors in, or arising from, the workplace that may result in injury, illness, impairment, or affect the well being of workers and members of the community. These hazards / stressors are divided into categories: biological, chemical, physical, ergonomic and psychosocial. The RynMag THAM Occupational Hygiene unit focuses essentially on a preventative approach through the minimisation of exposure to biological, chemical, physical, ergonomic and psychosocial agents in the work environment and the adoption of good ergonomic practises, through the use of exposure level indicators and increasing and or decreasing indicator levels.
Hazard Sampling Group Compilation
RynMag THAM has ability to manage the Hazard Exposure Measurement Sampling Process for each individual anticipated Hazard, for all positions within the Enterprise. The system can compile sampling groups by using Homogeneous Exposure Groups, as well a combination of various other grouping factors such as the Paterson Management Levels and the physical groupings such as Position groups or Sites and Sections. The sampling group could also be compiled through the use of specific requirements such as Legislative specifications.
Hazard Sampling Process Management
The Management of the Hazard Sampling Process is achieved through various functions such as the individual reporting levels for all Hazards and the definition of all sampling actions and all reporting structures linked to positions for the ease of reporting and adherence of deadlines as stipulated by legislation or other factors.
Risk Assessment Compiler
Risk assessments are conducted with ease as the system contains an editable risk assessment unit. The matrix and all elements can be altered.
Hazard Sampling Process Reports
The reporting functions include the reporting of individual levels of exposure for all positions sampled in the process as well as the Sampling Group reports to indicate exposure levels, and the individual or group management strategies could easily be amended for groups or individuals. The hazard Exposure results are recorded for the position as well as the individual.
Hazard Exposure Management
In the event of unacceptable exposure levels for Hazards being detected through the sampling process, the individual's Medical profile would be temporarily altered and medical management of the exposure is initiated immediately. After the successful management of the exposure, the individual's medical profile would revert to the original state. The change of the individual's Medical profile, would permanently be recorded, to include the dates started and reverted to the original state when high levels of exposure has been experienced as well as the Hazard factor for which this change in profile was initiated.

Identification and effective control of workplace hazards / stressors will provide maximum benefit to both the worker and the employer. The RynMag THAM is an effective management system that will provide a structure to help ensure worker health protection, and simultaneously integrates workplace safety and health into all aspects of an organization. The system keeps personal occupational health data protected, but the correct people will be informed when employees are at risk. The integration of the management system will also facilitate the development of approaches that maximize the effectiveness and efficiency of anticipating, recognizing, evaluating and controlling workplace hazards / stressors.
Training Management
The RynMag THAM Training Management System handles the booking of all training as well as the allocated training budgets for all essential and non-essential training for all personnel. The system manages all course planning and can even be used to assist in limiting of training in the event of budget constraints or cuts. It manages the booking of all training including the recurring training of personnel. Including all notifications and correspondence.The updating of the personal information of trainees is automated, and includes the reminders for recurring training.
Training Planner
The Training Service Providers are listed along with the courses and dates. The relevant information would enable the system to handle all course bookings. The system would plan all training on either a manual training planner where the administrator does the planning on the system, or fully automated where the system would select the trainees for specific courses and then book the various courses at the optimum levels or a combination of both. The program plans training for dates prior to training lapsing in the case of recurring training. The system would generate lists for all relevant information, from year planners to individual booking lists for various courses and specific course dates, or detail per personnel number, Paterson management level groups, Positions and Position Groups.
Training Budget Cuts
In the event of financial constraints, the training can automatically be limited through the input of the new revised budgets and the system would apply cuts to certain training to adjust to the budget. This function can be used even after the planned year has started and could be used as a fully automated feature (with a new target budget)or semi-automatic feature where the training is limited up to the stage of budget compliance is achieved.
Training Reminders
It would be on no use if all Training is planned but trainees are not notified. The system does all notification of all relevant personnel. There are reminders, set for daily, weekly, monthly and annual reminders. The reminders would contain relevant information of the trainee and course as well as the renewal date if applicable.
Training Status Updating.
All personnel data regarding training completed with renewal dates are generated by the system. Having all applicable information at hand for the completion of required documentation such as the south African Employment Equity Act or the South African Broad Based Black Economic Empowerment Act is as easy as the request for a period of the history.
Position Based Medical Surveillance
The Medical Surveillance Profile of each position in the company will be defined to determine the level and type of medical surveillance required for occupants. The standard profile indicator would be be used as the minima for personnel appointed in the specific position.
Occupational Risk Exposure Profile Management
The principle of OREP brings a whole new dimension of Occupational Health Management to the fore. Each person within the organization has to be managed according to the Occupational Risk Exposure data as determined through Occupational Hygiene Management Sampling. The required medical Surveillance program is determined for a specific position and each incumbent managed according to the specific profile requirements for the duration of employment. The employee is managed for specified risks and if any deviation is found within the profile, immediate action is taken.
Medical Information Updating
The medical information is updated through user interfaces supplied to the applicable Occupational Health Practitioners. Any deviation in the results is flagged for immediate attention and new temporary personal profiles would activated for the specific employee and this temporary profile would stay active until the full term of the specialized treatment has lapsed. The personal information of the employees are retained as specified by law.
Personal Medical Examination Reminders
The RynMag THAM reminds all personnel and their superiors of imminent Medical Examinations. The applicable data is sent to the Occupational Medical Practitioner, requesting the specific examination of an employee.
Absenteeism Management
The management of absentees in any work environment is essential to ensure that employees are proactively managed and who shows signs of work related adverse health effects.
Medical Information Notation
All medical information relating to employees are recorded and classified with the International Statistical Classification of Diseases and Related Health Problems 10th Revision (ICD-10). This has the advantage that the information would always be accessible for later retrieval through the RynMag THAM system or other information mining technique.
Problem Employees
RynMag THAM Absenteeism Management assists in discovering and managing problem employees and therefore limits the influence of absenteeism on the productivity and financial feasibility of the enterprise.
Absentee Information Request Reminders
Through a system of enquiries and reminders RynMag THAM manages the information regarding Absentees. All absentee information is recorded for analysis and compared with all other employees. Attendance profiles are created for all employees and compared. Absenteeism Management is likely to limit non-essential leave due to the inquisitive nature of the system.
